Brief:
In line with the European General Data Protection Regulation (GDPR) that came into effect on 25 May 2018, a Northern Spanish Education Authority drew up their informative documentation and legal policies and forms, and needed us to translate them into English for their non-Spanish speaking users.

Challenges:
The immediate challenge was time-related, as the client wanted to be fully compliant with their documentation published online by the GDPR deadline.

Secondly, as per the wording of the regulation itself, the text needed to be written in simple, easy-to-understand language, that clearly explained the obligations of the client to its data subjects and each individual’s rights regarding their data. Since many of the data subjects involved were children and young people, this needed to be taken into account.

Since the EU regulation has global implications, we needed to make sure that our translations matched the official translations already in circulation, and we researched thoroughly with the Spanish Data Protection Agency (AEPD) and the UK equivalent, the Information Commissioner’s Office (ICO).

Results:
The client documentation was ready in time for their deadline for compliance with the GDPR. They were able to demonstrate their commitment to their customers’ rights and they were ready for their first requests for exercise of rights by interested parties that same month.
